The goal of this Mini-Module is to provide your team with the “basics” to help captivate and excite your audience.

10 Straightforward tips for making an effective slide deck:

1) Keep it simple and one thing at a time.

Slides are used to add a visual experience to your words. Use only keywords or images throughout the slides to help you verbally tell your story, describe data and explain circumstances. If you have too much copy and read your slides, the audience will get bored and stop listening.
As a presenter, your job is to control the flow of information so that your audience stays with you. Most audiences will instantly read every slide as soon as it’s displayed. They will be three steps ahead of you, waiting for you to catch up rather than listening with interest to the point you are making. To help with this, visual information should be revealed one piece at a time.

2) Write a script

Since the point of your slides is to support what you are about to say, you should know what you intend to say and then figure out how to visualize it.

Prepare an outline of key themes and then write the script in point form. Once this is complete, you can build the slide deck with corresponding visuals.

When creating the script and slide content keep your audience in mind. Ask yourself:

What do they know?
What do you need to tell them?
What do they expect?
What will be interesting to them?
What will keep them focused?
If possible, leave them anxious to find out what is on the next slide.

3) Create a consistent look and feel.

In a good slide deck, each slide should feel like part of the same story. That means using the same or related typography, colors and imagery across all your slides.

Avoid using cookie cutter, recognizable presentation templates and supporting visuals. Instead, create a background tailored to the audience for the opening and subsequent slides.

Although you want the slides to feel like part of the same family, you don’t want each slide to look exactly the same. Different accent colours can be used to signal a change in topic.

4) Slide Information

Text

If there are a lot of words on your slide, you’re asking your audience to split their attention between what they’re reading and what they’re hearing. That’s really hard for a brain to do and it compromises the effectiveness of both your slide text and your spoken words. If you can’t avoid having blocks of text, try to reveal it progressively .

Bullet Points

No one will remember 12 bullet points, but they will remember compelling slides that have one main topic. Use each slide to build your case and incrementally tell your story.

As a guideline, no more than 3 bullet points with 6 words each. Let’s say you have 6 bullet points for a topic. Try to organize them into sub-themes and put half of them on the next slide.

As an alternative, try quadrant points instead of bullet points!

Font and Size

Out of all the available fonts, the easiest one to read is Sans Serif.

When sizing your fonts, keep in mind that the text should be large enough to be read by the person in the back of the room.

5) Contrast and Colours

To make slides easy to read, you need a high level of contrast between the text and the background. The best possible contrast can be achieved with black text on a white background however, it is a little boring.

Use of pleasing colours can enhance the look of your entire presentation. Use a single color to emphasize important points in your text. Studies have revealed that colors can evoke feelings and emotions. The right colors can help persuade and increase retention.
Some things to stay away from:

If your background features light and dark variation, portions of your text may not be legible.
Using “white reverse” is difficult to read in cases where there is a lot of text. That is when your background is dark and the text is white.
Keep your colours easy on the eyes!

6) Images

Images can have a powerful impact on your audience but too many on one slide can be a distraction. Limit your designs to a single image with simple or no text. Avoid using PowerPoint Clip Art or other cartoon line art.

Look for photos that are:

High quality. **

7) Videos

Using video clips are a great way to validate your message. In addition, they provide a change of pace to hold the interest of your audience.

Use the following set-up. Hyperlink the embedded URL for the video on to a piece of text (Video Name) or a picture on the slide.

When you are ready to play the video, click on the hyperlink to take you to the video webpage. Once there, manually click on the “play” and “full screen” buttons. This method will provide more control over the video start time than using auto play.

Overuse of special effects will distract your audience away from your message. Some animation is good but it should be subtle and professional; and not between or on every slide.

9) Charts and Graphs

There are two types of charts and graphs. Ones that have been copied and pasted from another source and look out of place with the slide deck design. And ones that have been created using the tools that come with the presentation application (ei. PowerPoint). The later, although it takes time to create, will look more professional and consistent with the rest of your presentation.

Provide only as much detail as needed and be sure to label the charts and graphs. Here are some examples:

Pie Chart: Used to show percentages. Limit the slices to 4-6 and contrast the most important slice either with color or by exploding the slice.
Vertical Bar Chart: Used to show changes in quantity over time. Best if you limit the bars to 4-8.
Horizontal Bar Chart: Used to compare quantities. For example, comparing sales figures among the four regions of the company.
Line Chart: Used to demonstrate trends. This simple line chart shows that sales have increased every year. The arrow highlights that: Our future looks good!

10) Literacy

Check spelling, grammar, sentence structure, punctuation and word usage.

1) Presentation Phases

The Beginning

The Presentation

Present the slide deck, leading your audience to the promised “hook”. When each team member has completed their section, they should introduce the next speaker and what they will be covering.

Summarize the important points at the end of the presentation.
Say “thank you” when you’re done. Your audience has taken the time to attend your presentation. Should you receive a round of applause, be sure to express how grateful you are for it.

Physical Movement

A natural reaction to being nervous is the tendency to sway from side to side, or shift your weight from one leg to the other. If pronounced, it can detract from the presentation. Eye Contact

Studies have shown that certain body poses can affect power and reduce anxiety. Before a talk stride around, stand tall and extend your body.
The best advice is breath deeply before your presentation.
Acknowledging nervousness can also create engagement. Showing your vulnerability, through nerves or tone of voice, is a powerful way to win over an audience, provided it is authentic.
Speak unusually sloooowly

When you get nervous, your heart beat speeds up and so does your speech. Audiences understand that presenters can be nervous. They have been in the same position as you. They want you to be successful and will understand if you are silent for a moment, take a deep breath and start speaking more slowly.

Turn nervousness into excitement

When your hands get clammy, your heart starts racing and you get all tensed up, these are signs of nervousness. Repeat to yourself: No, I am not nervous, I am excited; No, I am not nervous, I am excited, etc. Many presenters say that this technique helps re-interpret the way they are feeling from nervousness to excitement.

3) Monitor Audience

Monitor your audience’s behavior each time that you deliver a presentation.
